DUTY STATION: UNICEF Maroua

Type of contract: TA Appointment

Level: GS4

Duration: 12 Months

PURPOSE OF THE JOB

Under the general supervision of the Travel Assistant, performs a variety of clerical duties related to the administration of the office.

REPORTS TO : Travel Assistant

KEY ACCOUNTABILITIES and DUTIES & TASKS

Seaches office files and records relating to a variety of topics for information and references. Selects information and records in specified format for use by others in preparing reports, correspondence, technical papers, projects or programme plans and general reference documents.

Assists staff members and their dependents by processing requests for visas, identity cards, drivers' licenses, and other necessary personnel-related documents, in accordance with the requirements of the United Nations and the country of the duty station. Maintains facts on living conditions and special entitlements.

Drafts routine correspondence, telegrams, memoranda and reports via oral instructions, previous correspondence or other available information sources, in accordance with standard office procedures.

Classifies and codes material relating to a number of subject matter areas, and maintains general office files.

Makes travel and hotel reservations, prepares travel authorization forms and assembles information pertaining to the purpose of travel.

Make arrangements for shipment and receipt of office and project supplies and equipment and household effects, including customs clearance.

Maintains, updates and transmits the inventory records of non-expendable equipment.

Operates offce equipment such as typewriters, word-processing and other similar keyboard equipment, as required

Performs other duties, as required.

QUALIFICATION and COMPETENCIES

Education

Completion of secondary education. Ability to operate a typewriter and keyboard equipment, such as a word-processor.

Work experience

  • Four years general clerical work, which should include a good knowledge of standard clerical practices and procedures.
  • Experience in an international organization desirable.

Languages: Fluency in French and good working knowledge of English are required.
