The U.S. Mission in Yaounde, Cameroon is seeking eligible and qualified applicants for the position Supply Clerk. This position is located in Yaounde, Cameroon.

BASIC FUNCTION OF THE POSITION

Under the supervision of the Property Management Supervisor, the incumbent manages the maintenance supply division of Expendable Supply and Property. He/She stores and issues Facilities Maintenance supplies to Facilities Maintenance technicians; and performs supply clerical duties.

Detailed Duties and Responsibilities for Supply Clerk:

Under the supervision of the Property Management Supervisor, the incumbent manages the maintenance supply division of Expendable Supply and Property. He/She stores and issues FM supplies to FM technicians. Performs supply clerical duties.

Place all procurement orders in ILMS Ariba for both oversea and local purchase of supplies for all FM shops. Study maintenance catalog and carry out internet research to maintain a mastery of most performant and cost effective spare parts and tools for maintenance technicians. Maintain and systematically update information on vendor identification, price quotes, model numbers, part numbers and item specifications. Control quality of materials delivered by vendors. 35%

Issues maintenance supplies and tools to FM technicians as requested through stock request in Ariba. Use sound judgment to correct request where necessary and reject unreasonable ones. Verifies if document is approved by FM hierarchy but takes initiative using sound judgment to do express issue in case of real emergencies. Picks items from shelves, updates ILMS database, and records balance on bin cards and in ILMS database. Delivers items to maintenance technicians, foremen and supervisors. 25%

Maintains stock record cards and ILMS Expendable Database for all FM supplies. Systematically update data as new supplies come in and as items are issued on a daily bases. Work with supervisor to establish minimum and maximum stock levels and re-order points to avoid overstocking or running out of stock. Manage all FM supply store rooms with property with more than $400,000 on a daily basis keeping it orderly, clean and safe. Prepares stock cards for new items where necessary. Provides information to requestors on its availability and suggests substitutes when appropriate. 20%

Unpacks and stocks supplies upon arrival at the Embassy warehouse. Assist Receiving Clerk to open and check quantities and conditions of cartons and boxes. Unpack and stock supplies, report damage and arrange items on shelves to provide efficient space usage and ease identification of items. 10%

Collects information to initiate new orders for replenishing supplies by the use of My -services. Participates in making correction to office catalog and types reports and memoranda. 5%

Assists in conducting annual inventory in the shop and conducts periodic inventory and reconcile inventory findings. Assist in preparing disposal documents. Perform other duties as assigned. Operate forklift and warehouse truck as needed. 5%

QUALIFICATIONS REQUIRED

EDUCATION: Completion of secondary school is required.

EXPERIENCE: At least 2-year experience as a warehouseman, maintenance worker, or in any supply related position in an international organization or a large local institution is required.

LANGUAGE: Level III (Good Working Knowledge) Speaking/Reading/Writing English and level II (Basic Knowledge) speaking/reading French are required. (This will be tested.)

SKILLS AND ABILITIES: The incumbent must have arithmetic skills; ability to know the functions and location of supply items; patience and tact in dealing with the public; physical strength to move heavy items up to 40 kg; computer skills – typing at least 20 wpm and use of Microsoft Office (Word, Excel, Outlook). (Skills and abilities will be tested)

JOB KNOWLEDGE: The jobholder should have the ability to acquire knowledge of the Department of State supply procedures; the use of General Services Administration (GSA) and other catalogs; know the residences and equipment of all Embassy officials. He/She should be able to acquire knowledge on the use of specialized software related to this position and research information on the internet.
