PURPOSE OF THE JOB
Under the general supervision of the Chief of Operations, the incumbent performs administrative functions in support to the Operations Section and assist all units of the Operations section(IT, Supply, Admin/Fin, HR) in the accomplishment of various administrative and secretarial tasks.
REPORTS TO : Chief Operations Yaounde
KEY ACCOUNTABILITIES and DUTIES & TASKS
Provides direct assistance and carries out administratives duties under the supervision of the Chief Operations and in support to the Supply, Admin Finance, Human Resources and Information/Technology units of the Operations section including drafting various correspondences, customs clearance letters, and assits in the completion of various forms. Assists the Chief Operations in the secretarial duties.
Manages incoming/outgoing mails. Clears correspondences for conformity with established procedures and accuracy of statements before being signed by supervisor. Drafts non substantive correspondence and ensures follow-up. Types correspondence documents and reports some of which are higly confidential.
Arrange Operations meetings, takes notes at meeting and draft the minutes
Collects Operations management indicators for Operations meeting review
Follow up on staff participation in statutory committees and make periodic reports to the supervisor. Maintains policy, confidential and general files.
Classifies and codes material relating to a number of subject matter. Maintains confidential and general section files.
Creates and maintains data in VISION for suppliers, partners and consultants
Make travel arrangement for the supervisor and Operations team members in liaison with technical units.
Performs other duties, as required.
QUALIFICATION and COMPETENCIES
Education
Completion of secondary education, preferably supplemented by technical or University courses in administration, secretarial management of a level to BTS or DUT.
Work experience
Five years secretariat experience.
Experience in administration related processes and practices.

Languages: Fluency in French and good working knowledge of English are required.
